We’re very excited to have you on board as an exhibitor at our bridal expo in January 2022!
As we’re all aware, these are unprecedented times, but we’re looking to the future and preparing for the best. If the 2021 expo is anything to go by, a successful event can still occur despite the challenges presented.
The January Expo has over 1000 people registered to attend already and will be the largest and most successful expo for you in 2022.
Our marketing is in full swing to help you promote your business, please find marketing artwork attached for promoting the expo and your business online.

Below is all the info you need to know to exhibit at the Wedding & Bride Summer Bridal Expo on Sunday 16 January 2022 at the Melbourne Showgrounds:

- Bump in/ set up: Saturday 15th January 2022: 12.00 noon – 6.00pm.
(PLEASE NOTE: you can also bump in or do final touch ups to your stand from 7am to 8.30am on the day of the expo; 16th January 2022 before the doors open at 9am.)
- Bump out: Sunday 16th January 2022: 4pm – 6pm
- EXPO LOCATION: Exhibition Pavilion @ Melbourne Showgrounds.
Directions to follow
You have a 4m x 2m space. There is a 1.5m space between all space.
Space allocations will be confirmed closer to the date.
There are no walls, booths or partitions provided. The expo is designed as an open plan concept, allowing exhibitors free rein to be as creative as they wish when it comes to setting up their event space.
If you would like power supplied to your space, the power connection is an additional $50 plus gst which we will be added to your final invoice. Please let me know if you need power no later than 14 days prior to the event.
EVENTBRITE LEAD CAPTURE SCANNER:
There is an additional option to use a lead capture app at your space to gather all your leads, which you can manage using your own smart phone or tablet. The app is extremely easy to use and will save you a lot of time and energy from having to manually type out your leads’ contact information.
Eventbrite is our ticketing expert who offers the software (Entegy).
The Lead Capture app turns exhibitor mobile devices into a QR code scanner, to scan QR codes that hold contact details of every attendee that registers.
The app fully integrates with live attendee data so exhibitors can view, manage, and export qualified leads instantly. You can also add qualifying questions, ratings, and notes to each one of your leads.
The app is $100 + gst, which you can order up to 14 days prior to the event, and this will also be added to your final invoice. We will send you the code to upload the software to your device and show you how to use it. If you haven’t already booked your scanner, please let me know if you would like this option no later than 14 days prior to the event, this will give you time to familiarise yourself with the Eventbrite app.
PARKING YOUR WEDDING CAR
For bump in directions, information to follow.
Entry is after 9am on Saturday or before 9.00am on Sunday 16th January 2022.
On arrival you will be allocated a suitable space.
Positioning of the cars will be determined on the day.
Cars will be parked on the edge and in the middle of the venue.
Displayed Car Requirements:
- All vehicles within the expo must turn on hazard lights when being parked, travel at walking pace, be accompanied by a spotter and limit dry turns.
- To reduce fumes within the building, drivers should limit the amount of time vehicles are left to idle.
- During the expo, vehicles cannot be started and run without the prior permission of the venue management
- All vehicles must have a drip tray under the motor, a full fuel tank and 2.5kg type AB Dry powder extinguisher.
OTHER IMPORTANT INFO
Event date and times: Sunday 16th January 2022: 9am – 4pm
PARKING: Parking during bump in on Saturday 15th January is free.
A parking fee of $15.00 will be charged by the Showgrounds upon entry on Sunday 16th January 2022 to all patrons and exhibitors.
SAFETY VESTS: You will need to wear a safety vest during bump in/out. Please bring your own (available at Bunnings). You will not be permitted to bump in/out without a safety vest. Please note no children under 16 are permitted on the floor during bump in/out. No open shoes during bump in/out.
TESTING & TAGGING: ALL electrical appliances must be tagged and tested before they can be plugged in, this expense is at the cost of the exhibitor. An electrician will be on site on Saturday 15th January to assist with power supply connection, tag, and testing.
CATERING: Food and beverages can be purchased from the venue café / food trucks.
FOOD & BEVERAGE SAMPLING: No exhibitor shall distribute, sell, or give away any item of food or drink to visitors without the prior, written approval of Melbourne Showgrounds (MS). Generally, MS will not object to the distribution by exhibitors of food items, used as a means of demonstrating any product manufactured or supplied by the exhibitor, forming part of an exhibition. Please fill out the Catering Sales Form attached. Please submit all applications for sampling to firstname.lastname@example.org detailing the item/s, quantities, and relation to the core business. Samples must be given away free of cost; sample portions must be of a tasting style and size only, no larger than 50ml for beverages and 50g for food.
A temporary food premise is also required to be registered at the Council via the below link:
https://streatrader.health.vic.gov.au/. You need to apply for a Street Trader at least 21 days out from your event.
CANDLES: Open flame candles are not permitted in the venue.
WIFI: Melbourne Showgrounds provides free wifi.
We can help you to advertise a special offer or competition to encourage visitors to exchange their details with you, so you can grow your database and gain leads.
All we need is some text about your offer, and we will place the competition/special offer on our competitions page on the website. We will also advertise your offer in the official Show Guide which is given to all attendees on arrival.
BRIDAL GIFT BAGS
We will also be giving away exclusive bridal gift bags to the first 150 brides who attend the expo.
There’s usually a range of products and vouchers in the gift bags, including those from exhibitors who would like to offer something of value to the bags, while also having the opportunity to gain further exposure.
Products like branded candles, cosmetics, gift vouchers, branded cookies, branded beverages etc. Think creative 🙂
If you would like to add your product to the bags, please send through your suggestion.

Items/vouchers need to be made available to the event organiser no later than 4.00 pm Saturday 15th January 2022.
Your Space is locked in. All payments will be refunded if the event is cancelled due to COVID restrictions – this is 100% guaranteed.
